As well as the full presentations, you might consider something that does not include a formal personal presentation along the lines of a poster session at a conference.
a) a quad-chart or something similar, or
b) a short PowePoint with verbal commentary or accompanying Notes, or
c) a 2-page (or <10 page) paper done in a formal style, just not presented, but still reviewed
They give people an idea of what is being done without the person(s) submitting those above needing to present in person on the day. All with varying degrees of work on the part of the authors.
Just a thought.
